What information should I collect from leads before they talk to an agent?

Essential vs. nice-to-have
Collect only what affects routing or urgency:
- Name and email (required for follow-up)
- Phone number (confirm it's correct)
- What they're calling about (one dropdown or category, not open text)
- Budget or timeline (if relevant to your business—helps agents prioritize)
Skip company size, job title, number of employees, or detailed pain points. Agents will ask if they need it.
Why this matters
Every field you add increases abandonment. If your form takes 90 seconds, many people hang up. If it takes 20 seconds, they stay. Agents work faster when they can see why someone called instead of starting from zero.
How to collect it
Use a web form before the callback, or ask the IVR to confirm basics ("Press 1 if this is about pricing, 2 if it's technical support"). Store it somewhere your phone system can read it so agents see context when the call arrives.
A single dropdown for category is worth the setup effort. Everything else can wait for the conversation.
