Why are calls dropping, and what can I actually do about it?

Why are calls dropping, and what can I actually do about it?

The usual suspects

Queue timeout: Calls hang up if they wait too long. Check your phone service settings—most default to 5–10 minutes. Increase it or add a callback option.

No agents available: If all agents are busy, some services drop the call instead of queuing. Enable call queuing in your settings and confirm agents are actually logged in.

Internet issues: VoIP calls need stable bandwidth. One agent on a 2 Mbps connection can handle 2–3 calls. If calls drop during specific hours, bandwidth is likely the culprit.

Misconfigured routing: Calls route to invalid numbers or extensions that don't exist. Check your routing table in the phone system dashboard.

How to diagnose

Ask one dropped-call customer for the exact time it happened. Look up that time in your phone system's call log and see where it failed (queue, routing, agent line).

Quick fixes

Most dropped calls are avoidable. The fix is usually a dashboard setting, not replacing software.
