How do I integrate my CRM with my phone system so agents see customer data?

What integration means
When a customer calls, their phone number hits your phone system. The system looks up that number in your CRM and displays their record to the agent before they answer. The agent sees name, purchase history, previous notes.
How to set it up
Check for native connectors: Most modern CRMs (HubSpot, Freshsales, Pipedrive) have built-in integrations with phone systems like Twilio, Vonage, or RingCentral. Go to your CRM's app marketplace and search your phone provider's name.
If native integration exists: Follow the setup wizard. Usually: authorize the CRM to access your phone account, map phone fields, confirm it works with a test call. Takes 20 minutes.
If no native integration: Use Zapier or Make (formerly Integromat) to create a workflow: phone system triggers → look up number in CRM → send data to phone system display.
What you need
- Phone system that supports CTI (computer telephony integration)
- CRM with an API or Zapier integration
- Phone numbers stored consistently in your CRM (no formatting variations)
Start simple
Begin with just name and phone number visible on incoming calls. Add more fields (email, last order, notes) after agents confirm the basic setup works.
Most setups work within an hour if you have native integration. Custom setups take longer but are still doable.
