Can I use a basic CRM alone, or do I really need call-center software?

When CRM-only works
If you:
- Take fewer than 15 calls per day
- Use a regular phone line (or Skype, Google Voice)
- Don't need call recording
- Don't need intelligent routing
- Can handle callbacks manually
Then a CRM alone is fine. Manually log notes after each call. Use your phone provider's call history to track who called.
When you need call-center software
Add dedicated software when:
- You take 20+ calls daily and need them routed automatically
- You have multiple agents who can't all answer the same line
- You need call recording for compliance or training
- Customers complain about dropped calls or long waits
- You need metrics on who answered, how long it took, etc.
The overlap problem
Most CRMs (HubSpot, Pipedrive, Freshsales) have basic phone features now. They let you click to call and log it. This is convenient but not a replacement for real call routing. If you need your calls distributed fairly across agents, CRM phone features usually won't do it.
Honest assessment
Start with CRM + your current phone setup. After 2–3 weeks, you'll feel the friction. If that friction is costing you sales or customer satisfaction, add a call-center platform. If it's not, keep it simple.
